How to Create Return Labels by Carrier

DHL

DHL Express Returns allows you to generate return labels online through MyDHL+. You'll need a DHL business account and will need to configure which countries you accept returns from in advance.

FedEx

FedEx International Returns is available through FedEx Ship Manager. You can send return labels directly to customers via email (Email Return Label).

Japan Post (EMS)

Japan Post doesn't offer a dedicated return label service. Customers would ship back via their local post office as a standard international parcel. It's the cheapest option but offers slower speed and less precise tracking.

Duty Refunds on Returned Goods

When exported goods are returned, you may be able to recover duties paid.

Japan side:

  • Declare "re-import duty exemption" at customs when goods re-enter Japan
  • Keep original export invoices and shipping documents

US/EU side:

  • US: Duty Drawback allows refund claims within 3 years of export
  • EU: Returns Relief exempts goods returned within 3 years

Building a Return Policy

A clear return policy prevents disputes and sets expectations.

Key elements to include:

  • Return window (e.g., within 14 days of delivery)
  • Who pays return shipping (customer or seller)
  • Refund method (original payment or store credit)
  • Non-returnable items (custom orders, hygiene products, etc.)
  • Return address and contact

A common approach: customer pays return shipping, seller covers it for defective or incorrect items.

Practical Tips to Reduce Return Costs

  1. Track return rates by product category: Size and color-sensitive items tend to have higher return rates
  2. Improve product photos and size guides: Preventing unnecessary returns is the best strategy
  3. Use local 3PL partners: A return address in the US or EU reduces shipping and customs costs significantly
  4. No-return refunds for low-value items: For items under $20, refunding without requiring return is often cheaper
